1. Internal Collaboration:
  • Serve as the primary point of contact for internal stakeholders, including departments such as marketing, sales, government relations and executive teams regarding to all the activities and stage related programs.
  • Collaborate with internal teams to understand the organization's event objectives, requirements, and preferences.
  • Conduct comprehensive discussions and meetings with internal stakeholders to determine event themes, goals, and desired outcomes.
  • Work closely with internal teams to develop event concepts and provide creative input to enhance the overall event experience.
2. Event Program Planning and Execution:
  • Develop and execute comprehensive event plans, including budgets, timelines, and resource allocation of resources
  • Coordinate with internal teams to secure event venues, catering, entertainment, audiovisual equipment, and other necessary services.
  • Oversee logistical aspects of event planning, such as venue setup, stage production, lighting, sound, and technical support.
  • Manage event budgets for event programs, tracking expenses, and ensuring cost-effectiveness while delivering high-quality events.
  • Coordinate and supervise event staff and vendors, including event coordinators, technicians, and service providers.
  • Ensure seamless event execution, troubleshooting any issues that may arise during the planning and implementation stages.
3. Event Program Design and Production:
  • Collaborate with internal teams to develop event concepts, themes, and visual elements that align with the organization's brand and objectives.
  • Provide guidance on event design, décor, lighting, audiovisuals, and other production aspects to create an engaging and memorable event experience.
  • Oversee the development and production of event materials, including signage, banners, promotional items, and digital assets.
4. Vendor and Supplier Management:
  • Identify and partner with reliable and reputable vendors and suppliers for event-related services and products.
  • Negotiate contracts and agreements with vendors, ensuring competitive rates, favorable terms, and high-quality deliverables.
  • Maintain strong relationships with vendors and suppliers, fostering effective communication and collaboration throughout the event planning process.
5. Event Marketing and Promotion:
  • Collaborate with the marketing team to develop event marketing strategies and promotional materials.
  • Utilize various marketing channels, such as internal communications, intranet, and company newsletters, to generate awareness and engagement for the event.
  • Coordinate internal communications regarding the event, including event announcements, updates, and registration processes.
  • Support the marketing team in leveraging external communication channels, such as social media and press releases, to maximize event exposure and attendance.
6. Post-Event Evaluation and Reporting:
  • Conduct post-event evaluations, including gathering feedback from internal stakeholders and attendees to assess the success of the event.
  • Prepare comprehensive event reports, analyzing key metrics and providing insights for future improvements.
  • Identify opportunities for innovation and suggest new event concepts or enhancements based on the post-event evaluation.

Yêu cầu công việc:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field (or equivalent experience).
  • Proven experience as a senior-level Event Planner.
  • Strong project management skills with the ability to multitask and meet deadlines.
  • Excellent communication and interpersonal skills for effective collaboration with stakeholders, vendors, and team members.
  • Creative mindset with attention to detail in event concept development and design.
  • Strong negotiation and contract management abilities.
  • Proficiency in event management software and technology.
  • Strong organizational and problem-solving skills.
  • Ability to work well under pressure and adapt to changing circumstances.
  • Willingness to work irregular hours, including evenings and weekends, during events.
  • Exceptional writing and communication skills.
  • Proficiency in creating detailed PowerPoint presentations.
  • Familiarity with Microsoft Office suite.
  • Experience implementing health and safety procedures.
  • Strong project management experience or certification.
  • Prior experience in event management/production is preferred.
  • Excellent interpersonal skills with a proven ability to negotiate.
  • Experienced in a variety of events and skilled in resolving logistical issues.
